Summary

Provide high-quality, detail-oriented learning and development program support with a focus on cohort care. This role is responsible for fostering a sense of belonging and connection, ensuring consistent communication, monitoring engagement and progression, and celebrating milestones.

Education & Experience

  • Bachelor’s degree in a relevant field or equivalent experience/training required
  • 5-7 years of related experience required

Responsibility Level

  • Exercises independent judgment with guidance from supervisor
  • Manages time and competing priorities independently across multiple programs

Required Skills

  • Strong verbal, written communication, and interpersonal skills
  • High level of attention to detail and follow-through; escalates risks and exceptions appropriately
  • Demonstrates excellent judgment in prioritizing participant and program needs; proactive approach to cohort care
  • Effective management of time and priorities across multiple programs
  • Exceptional customer service abilities, including cross-cultural, technical, and executive-facing settings
  • Knowledge of curriculum and training design, instructional methods, and assessment of training effectiveness
  • Familiarity with strategic planning, resource allocation, and human resources practices
  • Understanding of media production, communication, and dissemination methods
  • Ability to coordinate across multiple time zones, vendors, and internal teams
  • Knowledge of human behavior, learning, and motivation; understanding psychological research methods
  • Proficient in Microsoft Office applications, including Word, PowerPoint, Excel, SharePoint, and Forms

Major Duties & Responsibilities

Cohort Care

  • Schedule cohort events, team meetings, and training sessions
  • Manage in-person logistics (room bookings, badge pickup, catering, AV setup, etc.) as needed
  • Track and renew licenses for in-session interaction tools (such as Slido); manage setup for these tools
  • Coordinate with external partners on session dates, rosters, housing, and participant travel
  • Encourage participants’ use of AI resources for frequently asked questions

Participant Lifecycle Management

  • Maintain participant rosters, status tracking, and dashboards across all programs
  • Confirm attendance and travel readiness for residential sessions
  • Track completion of requirements (assessments, certificates, release forms)
  • Distribute digital badges and certificates using platforms like VirtualBadge.io

Communications & Stakeholder Support

  • Draft and send communications to participants and managers (reminders, deadlines, travel guidance)
  • Respond to inquiries from participants, mentors, and managers promptly and professionally
  • Manage content and updates on Microsoft Teams channels and SharePoint sites
  • Capture meeting notes, action items, and follow-ups

Data & Reporting

  • Maintain and update Excel trackers and dashboards related to participation, costs, and progression
  • Coordinate with employee development and finance on items such as cost code confirmation, tuition tracking, and travel caps
  • Support preparation of materials for leadership updates, kickoff presentations, and cohort feedback

Feedback & Recommendations

  • Submit monthly observations and recommendations for process and program improvement to supervisor
  • Collect informal feedback from participants regarding their experiences
  • Summarize recurring questions and confusion related to resource utilization
