Job Title:

Executive Assistant 


Type of Position:

This position will begin as a 6-month contract, with possibility of extension based on business needs / performance. Conversion to a direct hire role is also possible long term. Although direct hire is not guaranteed, high-performing team members are often considered for permanent opportunities over time.


Job Location:

Mountain View, CA (hybrid role)


Compensation:

$30.00/hr. Overtime is paid at 1.5x over 40 hours.

Job Description:

HRU Technical Resources has partnered with a major automotive manufacturer to hire an experienced administrative professional to support four directors within the company’s infrastructure team in Software & Services. This role will be responsible for handling a variety of administrative and executive support functions, requiring a high level of discretion, organization, and attention to detail. The position involves calendar management, meeting coordination, travel arrangements, presentation preparation, expense reporting, and onboarding support. The successful candidate will be a proactive problem-solver, able to work independently, and skilled at managing multiple priorities in a fast-paced environment.


Primary Responsibilities:

  • Manage complex calendars and coordinate scheduling for multiple Directors Organize and schedule meetings, including recurring staff meetings and leadership touchpoints
  • Arrange domestic travel, book hotels, and manage itineraries for frequent trips that the directors will take to Michigan and other areas.
  • Prepare, modify, and proofread presentations, reports, and organizational documents using the Microsoft Office Suite
  • Support the planning and execution of team meetings, events, and large group sessions (including virtual town halls)
  • Handle contractor badging administration and onboarding tasks for new hires (low volume)
  • Process expense reports using Concur and maintain accurate department records
  • Coordinate with other Executive Assistants to schedule meetings with senior leaders across the company
  • Manage email correspondence, phone calls, and information flow with discretion
  • Support OPRA / Procurement Tracker – invoicing for department-related purchases
  • Maintain confidential files and company specific reports
  • Provide floor coordination support and assist with special projects as needed
  • Continuously identify opportunities to improve administrative processes and efficiency


Skills, Education, Experience Required:

  • High School Diploma required; higher education a plus
  • Minimum 5–10 years of administrative assistant experience, including executive-level support
  • Proven ability to manage multiple calendars and prioritize scheduling demands
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong organizational, planning, and problem-solving skills
  • Able to facilitate large meetings and operate AV/video conferencing tools (Microsoft Teams, telepresence systems)


Skills, Education, Experience Preferred:

  • Experience using Concur for travel and expense reporting
  • Familiarity with Slack, Salesforce, and company specific tools (training provided)
  • Experience in supporting multiple leaders simultaneously across locations


Work Environment / Other Info:

  • Hybrid work schedule – 3 days on-site (Tue–Thu), 2 days remote (Mon & Fri). Standard hours: 8:00 AM – 5:00 PM PST
  • No overtime expected; fast-paced, busy work environment with varied daily tasks
  • Offer may be contingent upon a background check and drug screen (drug screen would NOT include cannabis).
